Oaks & Derby Volunteer Interest Form

The 152nd running of the Kentucky Oaks and Derby will be May 1st & 2nd at Churchill Downs in Louisville, Kentucky. This is an extremely fun event and another huge fundraising opportunity for our band — all proceeds go directly to the band program!

What We Do
We partner with Levy Restaurants as premium volunteers, assisting with food service in the premium suites. That means managing buffet tables to keep them presentable and full, clearing dishes, and running requested à la carte items — you will NOT be in a concession stand or handling money.
The students who volunteer have a great time. And parents — this is one of the few chances you get to be right alongside your kids making memories. Your feet will hurt, the food they provide us for lunch isn't great... but it is absolutely worth it!
Quick Info
- All proceeds go directly to the Band
- Students volunteering on Oaks Day (Friday, 5/1) will receive an excused absence from classes
- Parents, friends, and family are welcome — NHS members can earn service hours!
- Must be 16 or older to volunteer; anyone under 18 requires parent/guardian approval
- These are long days — bus departs Central at ~5am, returning around 9pm
- Bus transportation is provided both days. Adults: let us know ASAP if you plan to ride. Students must ride the bus unless traveling with a parent.
- Attire: Black pants, black shoes, and a black or white long-sleeved button-up shirt
What to Expect After Signing Up
Once registered, here's what the process looks like:
- Training (~30 min, online) — You'll complete a short Levy orientation covering food safety, responsible alcohol service, and workplace policies. When finished, you must download your completion certificate — a screenshot will not be accepted.
- Policy Acknowledgements — You'll sign a short packet of Levy/Compass Group policies digitally via a link I'll send you. Can be done from your phone or computer.
- Submit your documents — Email your signed packet and training certificate to me so I can get you officially registered.
All training is free and completed on your own time before the event. Deadline: March 9, 2026.
